The facilities
Terms and Conditions
General Terms and Conditions
The general terms and conditions of the Seinäjoki Parish apply to the parish’s facility and kitchen services.
Reservation terms
Reservations can be done in person, by phone or by email
The service provider will confirm the reservation by sending an order confirmation to the email address provided by the subscriber. The order confirmation will include, at a minimum, information about the subscriber, the agreed-upon services, the delivery date, and the prices, as well as these terms and conditions.
The order confirmation is binding on both the service provider and the customer.
The customer can not transfer the reservation to a third party without the service provider’s prior written consent.
The number of guests for the reservation must be confirmed with the catering service no later than seven (7) days before the agreed delivery date. If a reservation is made later than seven (7) days before the agreed delivery time, the number of guests cannot be changed afterward; the number of guests stated in the order confirmation is final.
Payment terms
The service provider will invoice the customer for catering services and food service after the fact, in accordance with the price list in effect at the time, the order confirmation, and these general terms and conditions. Interest on late payments is determined in accordance with the interest act.
Payment for facility rentals and the linen rentals included in them must be made in advance either through the MobilePay app (a facility-specific ID number is available from the service offices) or, alternatively, by bank transfer to the Seinäjoki Parish account EPOP FI13 5419 0110 0009 36. The payment reference must include the renter’s information, the venue, and the rental dates. The full payment must be received no later than three (3) business days before the delivery date specified in the booking confirmation, i.e., the rental dates.
Cancellation terms
The customer must notify the service provider of any cancellations or other changes to the reservation by email to the address listed below.
Seinäjoki service reservations: catering.seinajoki@evl.fi
Nurmo service reservations: catering.nurmo@evl.fi
Ylistaro service reservations: catering.ylistaro@evl.fi
Peräseinäjoki service reservations: catering.peraseinajoki@evl.fi
Facility reservations: seinajoki.virasto@evl.fi
A cancellation or other change to a reservation is considered to have taken place on the date the email containing the cancellation or change is received, provided that the email is received by 15:00. Any email received after that time will be considered received on the following business day.
An email regarding a cancellation or other change to a reservation must include information about the client, the agreed-upon service details, and the delivery date specified in the order confirmation.
The service provider will confirm any cancellation or other change by sending a confirmation email to the email address provided by the customer at the time of booking.
Changes, updates, and cancellations to reservations
All cancellations or other changes to a reservation must be reported to the service provider no later than seven (7) days prior to the delivery date specified in the order confirmation; otherwise, the service provider may have the right to bill the customer in accordance with the order confirmation and these terms and conditions.
A reservation for catering services is valid for the number of guests specified by the customer. The customer agrees to notify the service provider of any changes to the number of guests and any special dietary requirements no later than seven (7) days before the delivery date. Otherwise, the service provider has the right to provide the service and invoice the customer for it in accordance with the order confirmation. In the event of a significant change in the number of guests, the service provider has the right, if necessary, to assign the customer a different (rental) venue and to renegotiate the terms of the reservation, such as the rental fee for the venue.
Catering services are billed such that individuals aged 12 and older are charged as adults. A discounted rate (50% of the adult price) applies to children aged 4–11. Catering for children under 4 years of age is free if they are accompanied by a paying adult. Catering and services will be billed afterward in accordance with the order confirmation. If the number of diners exceeds the number specified in the order confirmation, billing will be based on the actual number of attendees.
If the customer cancels their order in full later than seven (7) days before the delivery date specified in the order confirmation, the following fees will be charged to the customer, regardless of the reason for the cancellation:
- If the cancellation is made 3–6 days before the delivery date, the customer will be charged a cancellation fee of 50% of the amount stated in the order confirmation.
- If the cancellation is made less than 3 days before the delivery date, the customer will be charged 100% of the order confirmation amount.
Customer's responsibility
The customer agrees to be bound by the order confirmation, these General Terms and Conditions, and any other terms and conditions that may be specified in the order confirmation.
The customer is responsible for any equipment and personal property brought into the (rental) facilities. The service provider is not liable for the property of the customer or of any persons admitted by the customer to the rented facilities.
The customer agrees to follow the service provider’s instructions regarding, among other things, the (rented) facilities and equipment, as well as their use.
The customer is liable for any damage that may be caused to the service provider’s property during the rental period, for example, due to equipment or other personal property brought into the customer’s rented facilities. The customer is liable for any damage caused to the rented facilities or other property of the service provider by persons admitted to the rented premises by the customer.
In the event of damage, the service provider will invoice the customer for any repair, cleaning, and other similar costs incurred, based on the actual expenses.
Force Majeure and exceptional circumstances
The service provider has the right to cancel or modify a reservation due to unforeseen circumstances beyond the service provider’s reasonable control (force majeure) and whose consequences the service provider cannot reasonably avoid. The customer will not be compensated for any damages resulting from force majeure situations.
The service provider has the right to terminate the event immediately or cancel the reservation if the customer or the reservation disrupts the service provider’s other operations, violates Finnish law, these terms and conditions, or jeopardizes the service provider’s reputation, property, or the safety of its staff or third parties.
Complaints
It is recommended that claims regarding defects in catering services be submitted on the day of delivery or, otherwise, immediately upon discovery of the mistake, to the person responsible for customer service at the service provider in order to resolve the matter.
Any disputes regarding a reservation or service should primarily be resolved through negotiation between the customer and the service provider.
If the customer so wishes, they may refer the matter to the consumer disputes board.
